Most clubs find it very difficult to get together as a new board and to plan the coming year 's projects as well as to set up a proper budget , based on the projects which have been decided upon.
Our club began a tradition 7 years ago. We have a weekend retreat at one of the lakes North of The City. Candle Lake is a half hou north and several of our members have cabins there. (In 2001 We held it at the Club Rooms)
We have had Dennis Mudry send out his portable hot tub to the lake in mid September, usually to Ross Butterwick's cabin . The Tub is filled with water a day ahead of time and when we arrive early on Friday , a fire is started in the furnace and the water is usually hot by 10:30PM.
Friday Night is Fun night: We socialize, play cards, have horse races(Board Game) play Crib on the Board Game , have munchies . We bring our own refreshments.
Saturday Morning, everyone ( we have had as many as 19 attend) is awakened by bacon and eggs and French Toast cooking on the stove. John and Ray and Stu have done this in the past.
At 9:00 AM sharp ,. the meeting is called to order. The incoming President presents his plan for the Weekend IE - Start with a club questionaire, then ideas for new year, who is in charge of what as director, how the committees work. A calendar is pre- prepared with past projects , past start dates, past chairpersons, new projects are input, new budget figures are input in budget , which has last 2 years figures and donations on it.
Coffee breaks are slated for 10:30 and 3:00 , with a light lunch at noon.( burgers and corn on the cob or something like that.
Once the budget is completed , a training seminar on PGI, New Club Building, Meeting Procedure,or any other seminars requested are put on.
If we are done by 4:00 we go out for 9 holes of golf, and come back for a feast.
That evening we party and enjoy the Optimist Companionship for one more evening, a lot of problems are discussed , brainstorming is completed in order to solve problems.
On Sunday we get up to another fantastic Brunch, go golfing, or fishing, come back , clean up the cabin , drain the hot tub and leave the cabin exactly as we found it originally.
